Office cleaning: a day service during working hours

What the price depends on

The rate is per square metre. The total depends on floor area, how many hours a day you need someone, how many kitchens and toilets there are, how often you have visitors in and who buys the consumables. Labour rates are in the table.

Cleaning products, paper towels, toilet paper, soap and bin bags are paid separately, or the office buys them itself. Outside window cleaning, carpet shampooing and taking away bulky waste aren’t part of the day service and are ordered separately.

What the day service covers

The core is the kitchen and toilets: dishes, the coffee machine, worktops, the sink, bins, topping up soap and paper. In the toilets that happens several times a day rather than once in the evening.

Then the meeting rooms: after each meeting, clear the mugs, wipe the table, open a window. Plus reception and the entrance, which visitors see first. Floors are mopped where needed, where someone spilt coffee or tracked in mud on a rainy day.

Desks are usually wiped only when they’re clear of papers and equipment. Documents, laptops and personal things are left alone. Put that in the task list from day one and you’ll save yourself questions later.

Safety

Bleach-based products must never be mixed with acidic ones, descaler for example, because the mix gives off chlorine gas. A wet floor in the corridor gets a warning sign, especially around lunchtime. Screens, wood and stone need their own products; an all-purpose spray damages them.

How to set it up

1. A walk round the office: which rooms, kitchens and toilets, where the cleaning cupboard is.
2. A task list with frequencies: hourly, twice a day, once a week.
3. Working hours, plus a contact person in the office to go to with questions.
4. Access: a card or key, and rules for restricted areas such as the server room or accounts.
5. The first week is a trial, and anything that was missed gets added to the list.

• No written task list, so everyone in the office expects something different.
• Nobody agreed who buys the consumables, and the toilet paper runs out on Friday.
• Toilet cleaning scheduled for exactly the time the queue is longest.
• Vacuuming the open space in the middle of video calls.
• Wiping a desk covered in documents and leaving the papers shuffled.
